Give your client what they need to pay.
A useful invoice makes the work, amount and payment instructions unambiguous. Confirm any additional requirements with your client.
- Your business identity and contact details
- The correct client or billing entity
- A unique invoice number and issue date
- Clear service descriptions, quantities and prices
- Applicable discount, tax and total due
- An agreed due date and payment instructions
- A reference or purchase order number, if requested
“Net 30” commonly means payment is due 30 days after the invoice date. Agree terms with your client and set the actual due date separately; writing terms here does not change the date.
The calculation
Every cent has a clear path.
Each quantity × unit price is rounded to the nearest cent first. Those rounded line amounts form the subtotal. An optional invoice-wide discount is applied next, then a single tax rate to the remaining amount. Half-cent ties round up. Totals are calculated from these rounded cents, so the document reconciles.
A fractional quantity can create a fraction of a cent: 1.3333 × $12.34 = $16.452922, which becomes $16.45 on the invoice.
- Line amount
- Quantity × Unit price → round to cents
- Subtotal
- Sum of the rounded line amounts
- Taxable base
- Subtotal − Discount
- Total due
- Taxable base + Rounded tax

A five-service invoice, down to the cent
The five lines total $1,021.35. A 10% discount is $102.135 before rounding, so $102.14 comes off the subtotal. Tax at 8.875% applies to $919.21 and rounds to $81.58. The total due is $1,000.79. These rates are an illustration, not a recommendation.
| Service | Quantity × rate | Amount |

| Strategy workshop | 1.5 × $125.00 | $187.50 |

An invoice asks.
A receipt confirms.
An estimate describes expected work and pricing before the final bill. An invoice requests payment for the stated work. A receipt records payment already received. This tool creates an invoice.
Invoicing and receiving cash are different steps.
A downloaded invoice has not been sent or paid through this site. Track those steps in your own records. An unpaid invoice is not available cash.
Plan with money actually received using the Cash Runway Calculator.
Know what stays
Local saving, with controls.
Saving starts off. Choose “Save this draft on this device” to recover your latest invoice after a refresh or return visit. Choose “Remember my business details” to reuse your business details and logo when starting a new invoice.
Turn either option off to remove its saved copy. Starting over replaces the draft and keeps business details only when that option is on. Your downloaded PDFs are separate files.
Saved details stay in this browser for this site address. They are not encrypted by this tool, synced across devices or backed up. Private browsing, clearing site data, browser limits or a different site address can remove or hide them. Download invoices for your records; avoid saving on shared devices.
What this version supports
- USD only; English document labels; 1–50 items. Quantity supports up to four decimal places; unit price supports cents.
- One fixed or percentage discount for the invoice, followed by one user-entered uniform tax rate. No mixed tax rates, tax-inclusive pricing, withholding, deposits, currency conversion or payment tracking.
