A work order starts with a clear request

A work order brings the request and the record of the job together. Identify who the work is for, explain what needs to be done, and add the assignment and completion details as they become available. Use it for a service visit, maintenance task or internal job, including remote work.

Define the job

Use one work order number, an issue date, your business or team name, and the customer or department. Describe the reported problem or requested work. Add a service location or asset reference when it helps identify the job.

Record responsibility

Keep the requested date and priority separate from the issue date. Record who asked for the work and who is assigned. Instructions can explain the agreed scope, checks or limits of the task.

Close the record clearly

Keep what was requested separate from what was completed. Add labor hours, materials, findings and follow-up work. Mark a record Completed only with a completion date; the tool does not verify that the work took place.

One maintenance job, from request to completion

Requested work: inspect a sample ventilation unit and replace its filter. The instruction is to isolate the unit before inspection and record a restart check. A separate completion note records the inspection, filter replacement and restart result.

The synthetic example uses Recorded cost. Inspection takes 1.5 hours at USD 60.00 (90.00), and installation takes 0.75 hours at the same rate (45.00). Two filters at 18.25 cost 36.50; four clips at 1.20 cost 4.80.

Record hours and parts without inventing a price

Labor and parts are optional. You can create an instruction-only work order, or record hours and quantities with no prices entered. A blank rate or unit cost stays Not priced. An explicit zero is a known zero amount.

When some rows are priced and others are not, the document shows a Priced rows subtotal and the number of unpriced rows. It does not present that incomplete subtotal as the cost of the whole job. When every recorded row is priced, it shows Entered labor and parts cost.

Choose Estimated cost, Internal cost or Recorded cost to describe your own prices. The label is your selection; a completion date or status does not establish which prices are actual. Every priced line rounds half up to cents before the sum. Currency labels do not convert values.

What entered authorization names mean

Prepared by, Approved / accepted by and Typed signature name record the text you enter. The generator does not authenticate people, verify consent, track approvals or supply a legal electronic signature. Follow the approval process appropriate to your own work.

PDF, CSV and the printable template

The completed PDF contains your reviewed operational record, with the paper size you choose: A4 or US Letter. Long records may continue onto more pages. The live document is a layout preview, not a promise of exact PDF pagination.

The CSV includes the job context, labor, parts, completion and cost status. Unpriced amounts remain blank. Entered text that looks like a spreadsheet formula receives an apostrophe prefix; the CSV identifies the modified fields. Review your spreadsheet's import behavior before using it.

The blank printable PDF is a separate paper form with spaces to complete by hand. It has no calculated amounts or interactive fillable fields. The checked example is synthetic. Neither PDF is an editable saved draft in this generator.

Supported values and text

Record up to 50 labor and parts rows combined. Hours and quantities accept up to four decimal places and must be positive when a row is started. Entered rates and unit costs accept up to two decimal places. Each priced row and the priced subtotal must not exceed 999,999,999.99.

Use one supported currency for the record: USD, EUR, GBP, CAD, AUD, INR, PKR or AED. Dates must be real calendar dates from 1900 to 2099. PDF labels are English and the local font supports the pinned Latin, Greek and Cyrillic character ranges. An unsupported character blocks PDF output with a field-specific message; valid original text remains available in CSV.

Practical work-order references

  • APPA: Work Management describes numbered requests, scope, responsibility, schedules and recorded expenses in educational facilities. Its institutional procedures are specific to that setting.
  • Fiix work order templates show maintenance record fields for work, assets, parts and completion. BiznTools uses its own form and examples.
